    Introduction

Adaptation Labs, LLC ("Adaptation Labs," "we," "us," or "our") is a clinical marketing consultancy. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you visit our website, contact us, or join our community mailing list. It also describes the rights available to individuals under the EU/UK General Data Protection Regulation (GDPR), the California Consumer Privacy Act as amended by the CPRA (CCPA), and the Virginia Consumer Data Protection Act (VCDPA).

    Information we collect

We collect personal information that you provide directly to us, including:

    • Identifiers such as your name and email address
    • Information you submit through our contact form (e.g., company, role, the nature of your inquiry, and any details you choose to share)
    • Mailing-list opt-in metadata, including the date and time of consent
    • Limited technical data automatically collected when you visit our site (e.g., IP address, browser type, pages viewed) used solely for site security and basic functionality

We do not knowingly collect sensitive personal information, and we do not knowingly collect personal information from children under 16.

    How we use your information

    We use personal information to:

    • Respond to inquiries and provide requested services
    • Send updates, articles, and authentic stories from across assistive technology, complex rehabilitation technology, and aged care to subscribers
    • Operate, maintain, and secure our website
    • Comply with legal obligations and enforce our agreements

We do not sell or share your personal information for cross-context behavioral advertising, and we do not use it for automated decision-making or profiling that produces legal or similarly significant effects.

    Legal basis for processing (GDPR)

For individuals in the EU, EEA, or UK, we rely on the following legal bases under the GDPR:

    • Consent — when you opt in to our mailing list or otherwise voluntarily provide information. You may withdraw consent at any time.
    • Performance of a contract — to respond to your inquiries and deliver consulting services you have requested.
    • Legitimate interests — to operate and secure our website, prevent fraud, and conduct ordinary business communications, where our interests are not overridden by your rights.
    • Legal obligation — to comply with applicable laws and respond to lawful requests from public authorities.

    How we share information

We share personal information only as needed to operate our business, including with:

    • Service providers who host our website, deliver email, and provide infrastructure under contractual confidentiality and data-protection obligations
    • Professional advisors (legal, accounting) where reasonably necessary
    • Authorities or other parties when required by law, to protect our rights, or in connection with a business transfer

We do not sell personal information for monetary consideration, and we do not "share" it as those terms are defined under the CCPA or VCDPA.

    International data transfers

Adaptation Labs is based in the United States, and the personal information we collect may be processed and stored in the U.S. or in other countries where we or our service providers operate. These jurisdictions may have data-protection laws that differ from those in your country of residence. When we transfer personal data from the EU, EEA, UK, or Switzerland to the United States or other third countries, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or equivalent legal mechanisms. You may contact us to request a copy of the safeguards in place.

    Your privacy rights

Depending on where you live, you may have the following rights regarding your personal information:

    • Access — request confirmation of whether we process your data and a copy of it
    • Correction — request that we correct inaccurate or incomplete data
    • Deletion — request that we delete your personal information ("right to be forgotten")
    • Portability — receive your data in a structured, commonly used, machine-readable format
    • Object or restrict — object to or restrict certain processing, including direct marketing
    • Withdraw consent — withdraw consent at any time without affecting the lawfulness of prior processing
    • Opt out — opt out of any sale or sharing of personal information (we do not engage in either) and of targeted advertising
    • Non-discrimination and appeal — exercise your rights without discriminatory treatment, and (for VCDPA) appeal a decision regarding your request

To exercise any of these rights, email privacy@adaptation-labs.com. We will verify your request and respond within the timeframes required by applicable law. You may also authorize an agent to submit a request on your behalf, subject to verification. EU/UK residents have the right to lodge a complaint with their local supervisory authority.

    Data retention

We retain personal information only for as long as necessary for the purposes described in this policy, to comply with our legal obligations, resolve disputes, and enforce our agreements. If you unsubscribe or request deletion, we will promptly remove your details from our active systems, subject to limited retention required by law.

    Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is fully secure, however, and we cannot guarantee absolute security.

    Cookies

Our website uses only essential cookies required for the site to function. We do not currently use third-party analytics or advertising cookies. We honor Global Privacy Control (GPC) signals where applicable.

    Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice.
